Make Waves Media ("we," "us," "our") operates makewavesfl.com and provides real estate photography services in the Pensacola, Florida area. This policy explains what information we collect, how we use it, and the choices you have.
Booking a shoot. When you book, we collect your name, email address, phone number, the address of the property to be photographed, the property type, access instructions (including lockbox or gate codes if you provide them), square footage, and any notes you add. We also record the date and time you accepted our Terms of Service and which version you accepted.
Contacting us. Our contact form collects your name, email address, phone number, and your message.
Free guides and newsletter. If you request a guide or subscribe to our newsletter, we collect your name and email address.
Payments. Deposits and payments are processed by Square, a PCI-DSS compliant payment processor. Your card details are transmitted directly to Square. We never see, handle, or store your payment card information.
When you use our site, we automatically collect your IP address, browser type, device information, and pages visited. We store IP addresses temporarily to enforce rate limits and prevent abuse of our booking and contact forms. These records are deleted automatically after a short period.
We do not use analytics, advertising, or tracking pixels on this site.
When you enter a property address, we may submit that address to third-party services, including Google's Places API and an automated AI service with access to public real estate records, to estimate square footage for pricing. We do not submit your name, email, or phone number with these lookups. Estimated square footage is cached so repeat lookups for the same property are not re-submitted.
We use the information we collect to: schedule and deliver photography services; access the property at the agreed time; process payments and send invoices and receipts; send booking confirmations, reminders, and delivery notifications; respond to your inquiries; send marketing emails and newsletters if you have subscribed; prevent fraud and abuse; and comply with legal obligations.
We only send text messages about your booking, confirmations, reminders, and day-of updates, if you affirmatively check the SMS consent box on our booking form. This is an explicit opt-in; text consent is never assumed, bundled with another required action, or turned on by default. Message and data rates may apply. You can opt out at any time by replying STOP to any message. Replying HELP returns contact information. Opting out of texts does not cancel your booking or stop transactional email.
We only send marketing emails and newsletters to addresses that have affirmatively opted in by checking a dedicated consent box, for example, the "I'd also like to receive occasional marketing emails" checkbox on our Free Guide page. This checkbox is unchecked by default and separate from any request for a guide, booking confirmation, or other transactional communication.
Every marketing email includes our physical address and a working unsubscribe link. You may unsubscribe at any time, and we honor unsubscribe requests promptly. Transactional emails about a booking or request you have made are not marketing and will continue regardless of marketing opt-in status.
Our website displays a cookie consent banner on your first visit. We do not set non-essential cookies until you click "Accept." Essential cookies required for the site to function are not affected by this setting. You can control cookies through your browser settings at any time.

Photographs of properties we shoot are governed by our Terms of Service, which address copyright, licensing, and property releases. If you are a property owner and object to images of your property appearing in our portfolio or marketing, contact us at the address below and we will remove them within a reasonable period.
We retain booking records for as long as needed to provide services, resolve disputes, and meet tax and legal obligations. Contact-form submissions and newsletter subscriptions are retained until you ask us to delete them or unsubscribe. IP-address rate-limit records are deleted automatically within minutes.
You may request a copy of the personal information we hold about you, ask us to correct it, or ask us to delete it. Email us at makewavesmediaflorida@gmail.com and allow us a reasonable period to respond. We may need to verify your identity, and we may retain information we are legally required to keep.
Our site and application infrastructure are provided by Base44, which maintains SOC 2 Type II and ISO 27001 certifications. Data is encrypted in transit and at rest. Access to booking, contact, and subscriber records is restricted to authorized administrators. No system is perfectly secure, and we cannot guarantee absolute security.
Our services are directed to real estate professionals and property owners. We do not knowingly collect personal information from anyone under 18. If you believe a child has provided us information, contact us and we will delete it.
We may update this policy. When we do, we will revise the "Last Updated" date above. Material changes will be noted on this page.
